Getting Started with QuickBooks

The first decision you'll make is choosing the right version of QuickBooks for your business. The main choice is between QuickBooks Online and QuickBooks Desktop. Online is cloud-based, accessible from anywhere, and billed with a monthly subscription. Desktop is installed on a single computer and purchased with a one-time fee.

For most small businesses, QuickBooks Online is the more flexible option. It comes in several tiers, such as Simple Start, Essentials, Plus, and Advanced. Your choice depends on your business needs. If you just need to track income and expenses, Simple Start might be enough. If you manage bills and have multiple users, you'll need Essentials or Plus. Businesses that track inventory or job profitability will need the higher-tier plans.

Your Company Profile

Once you've chosen a version, you'll create your company file. This step is straightforward but important. QuickBooks will ask for basic information about your business to tailor the software to your needs.

You'll need to provide your:

  • Business name and address
  • Industry (e.g., retail, consulting, construction)
  • Business type (e.g., sole proprietorship, LLC, S-corp)

This information helps QuickBooks create a relevant chart of accounts and set up industry-specific reports. Getting this right from the start makes everything else easier.

The Chart of Accounts

Think of the chart of accounts as the backbone of your bookkeeping system. It’s a complete list of every account in your general ledger. Essentially, it's a set of digital filing folders for organizing all your financial transactions. When money comes in or goes out, it gets sorted into one of these accounts.

Every account falls into one of five main types:

Taxes and Users

Configuring your tax settings is a critical setup step, especially if your business sells taxable goods or services. QuickBooks uses your business address to automatically find the correct sales tax rates for your state, county, and city. This ensures you're collecting the right amount from customers.

If you sell in multiple locations or have special tax situations, you can also add custom tax rates. Taking the time to set this up correctly now will save you major headaches later.

Finally, if you have employees or an accountant who needs access to your books, you'll want to set up user permissions. You don't want everyone to have full control over your financial data. QuickBooks allows you to invite users and assign them specific roles.

For example, you can give an employee permission to create invoices but not view bank account balances. Your accountant might get full access, while a sales manager might only be able to view reports. This helps maintain security and ensures people only see and do what's necessary for their job.

When granting access to the bookkeeping software, ensure that permissions are set according to each user’s role and responsibilities within the organization.
