Advanced Communication Models

Beyond the Basics

You already know that communication involves a sender, a message, and a receiver. But in a busy workplace, this simple cycle often breaks down. To understand why, we need to look at more advanced models that account for the real-world complexities of business communication, especially in a diverse environment like South Africa.

Effective communication isn't just about sending a message. It's about ensuring the intended meaning is received and understood.

We'll start with the linear models, which see communication as a one-way street. They're simple, but they help pinpoint where a message can fail before it even reaches its destination.

Linear Models

Harold Lasswell, a political scientist, created a straightforward model to analyse messages. It asks five key questions: Who says what, in which channel, to whom, with what effect?

Think about a manager announcing a new policy. The who is the manager. The what is the new policy details. The channel might be an email. The whom is the team of employees. The effect is whether they understand and adopt the policy.

Lasswell's model is useful for auditing communication. If a message fails, you can trace it back. Was the sender not credible? Was the channel inappropriate? Was the message unclear?

The Shannon-Weaver model adds another critical layer: noise. Originally developed for telecommunications, it views communication as a technical process. A sender (information source) encodes a message, which is transmitted through a channel. The receiver must then decode it. Along the way, noise can interfere and distort the message.

In a business context, 'noise' isn't just static on a phone line. It can be physical (a loud office), psychological (stress or bias), or, most importantly, semantic.

Semantic Noise

Interference in communication that arises from ambiguity in words, sentences, or symbols. It occurs when the sender and receiver have different interpretations of the same message.

In South Africa, with its 12 official languages and countless cultural backgrounds, semantic noise is a major challenge. A manager in Johannesburg might use a phrase that has a completely different connotation to a team member in the Western Cape. A simple gesture could be misinterpreted. This is where linear models fall short, they don't account for the human element of interpretation.

Interactive Models

Interactive models introduce two crucial concepts: feedback and the field of experience. Wilbur Schramm's model is a great example. It shows communication not as a one-way street, but as a two-way process where both parties act as both sender and receiver.

Crucially, Schramm argued that a message can only be understood if the sender's field of experience and the receiver's field of experience overlap. Your field of experience is everything that makes you who you are: your culture, your education, your past jobs, your personal history.

Consider a mining company implementing a new safety protocol. The engineers who designed it (senders) have a field of experience rich in technical knowledge and risk assessment. The miners (receivers) have a field of experience based on practical, on-the-ground realities and a different set of priorities. If there's no overlap, the message about the new protocol will be poorly decoded. The engineers might see it as a logical safety upgrade, while the miners see it as an impractical process that slows down their work.

Effective communication happens in that shared space. This is why induction programmes and team-building activities are so vital in diverse workplaces; they expand the shared field of experience.

Feedback and Hierarchy

Feedback is what makes a model interactive. But its effectiveness is heavily influenced by the organisational structure.

In a horizontal communication structure, like between colleagues in the same team, the feedback loop is usually quick and informal. You can immediately see from your colleague's expression if they understood your point.

In a vertical communication structure, such as from a CEO down to a junior employee, the feedback loop is much longer and more complex. The message travels through multiple layers of management, getting filtered and re-interpreted at each stage. Feedback travelling back up faces the same hurdles. This is where communication cycles often fail in large corporations. By the time a junior employee's feedback reaches the CEO, it may be distorted or stripped of its original context.

A delayed or distorted feedback loop can lead to a disconnect between management's strategy and the reality on the ground.

The final model, the transactional model, views communication as a simultaneous process. It argues that we are constantly sending and receiving messages. Think of a negotiation. As you speak, you're also reading the other person's body language (receiving). They are decoding your words while simultaneously encoding their response based on their reaction. In this model, the roles of sender and receiver are blurred, and the shared creation of meaning is everything.

Understanding these models helps you move from simply sending messages to strategically managing meaning. It allows you to anticipate where noise might occur, actively build a shared field of experience, and design communication channels that support clear, effective feedback loops, no matter the hierarchy.
