Notion Basics

What is Notion?

Notion is a single workspace where you can think, write, and plan. It’s like a set of digital LEGOs. You get basic building blocks that you can combine in countless ways to create your own systems for note-taking, project management, or running your entire business. The real power of Notion is its flexibility. It adapts to your workflow, not the other way around.

Notion is a flexible, all-in-one workspace that allows individuals and teams to organize tasks, track progress, and collaborate in real time.

Pages and Blocks

Everything in your Notion workspace is built on pages. A page is a blank canvas where you can add content. You can create a page for a new client, a project plan, or your weekly meeting notes. To create one, just click the + New Page button in your sidebar.

Pages can live inside other pages. This nesting allows you to create a clear hierarchy for your information. For instance, you could have a main "Clients" page, and inside it, a separate page for each client. This keeps your workspace tidy and makes information easy to find.

The content you add to a page is made up of "blocks." A block can be a piece of text, a checklist item, an image, or even an entire database. Think of them as the individual bricks you use to build your page. You can easily drag and drop blocks to rearrange your content.

To create a new block, just press / on a new line. This will bring up a menu of all the different block types you can add.

The Power of Databases

While blocks are the bricks, databases are the powerful machinery of your workspace. A database is essentially a collection of pages, organized with properties. For your consulting business, you could create a database for projects, a CRM for clients, or a content calendar.

Each item in a database is its own page, which you can open and fill with notes, tasks, and other details. What makes databases special are properties. These are pieces of information about each item, like a due date, a status (e.g., Not Started, In Progress, Complete), or the person responsible. You can add as many properties as you need to categorize and track your information.

The most powerful feature of databases is the ability to create different views. You can see the same set of data as a table, a Kanban board, a calendar, or a gallery. This lets you look at your information from different angles without duplicating anything.

Navigating and Customizing

Navigating your workspace is simple. On the left side of the screen, you’ll find the sidebar. This is where all your top-level pages are listed. You can drag and drop pages in the sidebar to reorder them or nest them under one another.

To make your workspace feel like your own, you can customize each page with an icon and a cover image. This not only adds a personal touch but also makes pages easier to identify at a glance. Just hover over the top of any page to see the options to add an icon or cover. You can choose from emojis, upload your own images, or select from a gallery of high-quality photos.
