Inside Power BI Desktop, you perform three main tasks:

Once you’ve built a report in Power BI Desktop, you need a way to share it. That’s the job of the Power BI Service, a cloud-based platform (app.powerbi.com) where you publish, share, and collaborate on your work.

While the Desktop application is for building, the Service is for sharing and monitoring. Its key features include:

• Sharing and Collaboration: You can securely share your reports with colleagues inside or outside your organization. You can create workspaces where teams can collaborate on the same set of reports and dashboards.
• Dashboards: The Service allows you to create dashboards, which are single-page summaries of the most important visuals from one or more reports. They provide a quick, at-a-glance view of key metrics.
• Scheduled Refresh: You can set up your data to refresh automatically. If your report is based on data that changes daily, you can schedule it to update every morning, so you always have the latest information without manually republishing.

The Power BI Mobile app lets you access your reports and dashboards on the go from your phone or tablet (iOS and Android). The mobile apps are designed for viewing, not creating. They provide a touch-optimized experience, allowing you to filter, drill down, and explore your data from anywhere.

You can also set up data-driven alerts. For example, the app can notify you if sales drop below a certain threshold or if inventory reaches a critical level, so you can take action immediately.

The workflow between the three components is straightforward. You start by creating a report in Power BI Desktop. When it's ready, you publish it to the Power BI Service. In the Service, you can arrange visuals into dashboards and share them with your team.

Finally, you and your colleagues can view and interact with those reports and dashboards on your computers via the Service or on your mobile devices with the Power BI Mobile app. This integrated system ensures that everyone has access to the same up-to-date information, no matter where they are.
