But a glossary filled with undefined or ambiguous terms isn't useful. The real value comes from enrichment: the process of adding context, clarity, and connections to your business assets.
This is where a data steward steps in. A steward's job isn't just to add terms, but to curate them, ensuring each concept is clear, governed, and unambiguously represented. This transforms a simple list of words into a trusted, interconnected knowledge base that people actually want to use.
The Art of Curation
Curation begins with a simple but critical task: writing a good description. A powerful description goes beyond a dictionary definition. It captures the business context. For example, instead of defining "Monthly Recurring Revenue" as "Revenue that recurs monthly," a better description would be: "The predictable total revenue generated from all active subscriptions in a calendar month. This metric excludes one-time fees and variable charges."
Acronyms are another key area for curation. Every organization has its own alphabet soup. The goal is to document each acronym and link it directly to its full Business Term. This ensures that when someone searches for "MRR," they are guided to the official, approved definition of "Monthly Recurring Revenue," eliminating confusion.

Weaving a Web of Context
Individual assets are useful, but connected assets are powerful. The next step in enrichment is to define relationships between them. This is how you build a map of your business knowledge, showing how different concepts influence one another.
Think about the term "Customer Satisfaction Score." By itself, it's just a definition. But when you link it to the KPI that measures it, and then link that KPI to the business reports that display it, you've created a clear line of sight from concept to measurement to analysis. This web of context is what allows users to explore and understand the business on a deeper level.
The Path to Approval
Not all terms in your glossary are created equal. Some are suggestions, some are works-in-progress, and some are the official, approved standard. The journey from a newly suggested term to an approved asset is a core data governance process. In Collibra, this is managed through asset statuses, primarily 'Candidate' and 'Approved'.
A 'Candidate' is a business asset that has been identified as potentially valuable but has not yet been formally reviewed and defined. It might come from a technical metadata scan or be suggested by a user. The goal is to transition these candidates to 'Approved' status through a collaborative effort.
This is where the Guided Stewardship operating model comes in. This feature helps stewards systematically identify high-priority candidate assets. Instead of wading through a sea of potential terms, stewards are presented with a focused list of candidates that need their attention. They can then initiate the curation process, assign tasks, and gather input from subject matter experts using built-in commenting and workflow features.
Collaboration is key. As a steward, you might add an initial description and then @-mention a product manager in the comments to validate it. They might reply with a correction or add a critical piece of context. This back-and-forth, all documented within the asset's page, ensures the final definition is accurate, comprehensive, and agreed upon. Once all stakeholders are in agreement, the steward can formally approve the asset, making it the official standard for the organization.
