The platforms provide templates that automate much of this, but you need to ensure the correct information is populated for each candidate.
After the candidate accepts the offer, they will be prompted to upload necessary documents, such as their driver's license and other identification. You will monitor this process within the portal, verifying that the uploads are clear and correct.
Getting documentation right the first time is crucial. Errors or missing files create onboarding bottlenecks, which directly delay route coverage and increase administrative work.
Every stage a candidate completes within the system is time-stamped. This creates a clear, sequential record of their journey. This is not just for internal tracking; it's a strict requirement for Amazon's audits. An incomplete or inaccurate timeline can lead to compliance issues. You must ensure candidates move from one stage to the next without getting stuck.
Coordinating External Checks
Onboarding isn't just about internal paperwork. A critical part of the process involves coordinating with a third-party vendor, HireRight, to conduct background checks and drug screenings. You will initiate these checks directly from the DRIVE platform. The system sends an automated request to HireRight and provides the candidate with instructions on how to complete their part of the process.
The status of these screenings will update automatically in the DRIVE portal. It is your responsibility to monitor this progress and follow up on any delays. A check that is pending for too long can bring the entire onboarding process to a halt.
Once all documents are in and the background check is cleared, the final step is to bridge the gap between the digital and physical worlds. The candidate, who may have been using the Amazon Flex app, now needs to be scheduled for their in-person driver training. This is also managed through the DRIVE portal, where you will assign the new DA to an available training slot. This action officially moves them from a candidate in a system to an employee ready for their first day.
